Facility planning guide

Give every cleaning bidder the same starting point.

A cleaning RFP should define the facility, task schedule, access constraints, responsibilities and response format. The goal is comparable answers, not a longer document.

01

Describe the facility and boundaries.

List areas, uses, approximate cleanable size, surfaces and occupancy. Mark excluded rooms and separately scoped tasks.

02

Use an area-and-task schedule.

State the task, proposed frequency and expected result. Ask bidders to identify assumptions instead of providing an unexplained all-inclusive figure.

Continue with Scope & frequency.

03

Ask for a structured response.

Request supervision approach, supply allocation, relevant evidence, exceptions and pricing format. Use a consistent clarification process.

04

Define the comparison.

Consider fit, completeness, management approach and terms alongside price. Keep procurement requirements specific to the organization.

Continue with Compare providers.

Start with your facility

Let’s make the scope clearer.

A useful first conversation starts with your building and what needs to improve.
